 You’ve Decided To Have Your Document Proofread – What Happens Next?

The more detail you can provide in the initial enquiry, the easier it will be to give you an accurate quote. Please include as much of the following information as possible in the contact form:


  • Type of document – e.g. EPQ, operational procedure, marketing copy, flyer, etc.
  • Final word count
  • File format to be reviewed – e.g. Word, PDF, etc
  • Style guide – if applicable, don’t worry if you don't have one
  • English Dialect
  • Service (s) required
  • Intended audience
  • Your project deadline
  • Any other relevant information
  •  Optional: a short sample (200–500 words) to help assess the text’s complexity and style — this will be required for all documents over 1,000 words 


Once your project sample and requirements have been reviewed and fully assessed, a tailored quote will be sent via email. Quotations are typically provided within two business days of receiving your enquiry. 



If you decide to proceed, a booking fee will be required, payable by bank transfer.  An invoice will be issued for the applicable amount:
 

  • For projects over 1,000 words, a 50% deposit of the total estimated fee is required to confirm your booking.
  • For documents of 1,000 words or less, full payment must be made in advance. 
  • Your booking is secured once payment is received.
  • Please send your final document at least two business days before the agreed start date to ensure work can begin on time. A delay in commencement due to late submission of your document may incur an additional charge.   


Proofreading is much more than a quick read-through – it’s a skilled, detailed process that requires time and care. A thorough proofreading means carefully reading your document slowly, word by word and line by line, known as a ‘pass’. This is usually repeated at least twice, sometimes three or four times. On each pass, the proofreader focuses on different aspects. Every word and sentence is checked with precision to ensure your writing is clear, consistent, and free from errors. 


Key areas that will be reviewed include:


  • Spelling, grammar, and punctuation
  • Sentence structure and flow 
  • Consistency of language and usage 
  • Adherence to style guide
  • Readability for your intended audience 


Your tone of voice will always be respected – the text will still sound like you.


Edits will be made using Track Changes in Word or markup tools in PDF. Comments may be added where suggestions or clarification are helpful. 



Once proofreading is complete, your files will be returned by the agreed deadline, along with your final invoice. You’ll also receive (if applicable) a summary highlighting any common issues found and questions to consider as you review your proofread document.


Your proofread documents will be:


  • Clearly presented and easy to read
  • Fully compliant with your preferred style guide 
  • As free as possible from errors, inconsistencies, and repetition 
  • Delivered on time, every time
